Understanding Access Types

Sharing with a Beneficiary

Beneficiaries get long-term access to your documents.

Step 1: Add a Beneficiary

  1. Go to SettingsExternal Access
  2. Click "Add Beneficiary"
  3. Enter their details:
    • Full name
    • Email address

Step 2: Select Documents to Share

Choose what they can access:

  • Specific documents - Select individual files
  • Smart folders - Share folder contents (auto-updates)
  • Document types - Share all documents of a type

Step 3: Configure Permissions

  • View only - Can see documents in browser
  • Download enabled - Can download files

Step 4: Send Invitation

  1. Review your selections
  2. Click "Send Invitation"
  3. They receive an email with setup instructions

Step 5: Share Emergency Code

For security, the emergency code is sent separately:

  1. Copy the emergency code shown
  2. Share it via a different channel (phone, text, in person)
  3. They'll need this code for their first login

Sharing with a Guest

Guests get temporary, time-limited access.

Step 1: Add a Guest

  1. Go to SettingsExternal Access
  2. Click "Add Guest"
  3. Enter their details:
    • Name
    • Email address
    • Expiration date (when access ends)

Step 2: Select Documents

Choose what they can access:

  • Select specific documents
  • Or share a smart folder

Step 3: Send Invitation

  1. Review your selections
  2. Click "Send Invitation"
  3. They receive a secure link

No password or code needed - the link itself is secure and time-limited.

Managing Shared Access

Viewing Current Shares

Go to SettingsExternal Access to see:

  • All beneficiaries and guests
  • What each person can access
  • Their last activity
  • Expiration dates (for guests)

Modifying Access

  1. Find the person in the list
  2. Click "Edit"
  3. Add or remove documents
  4. Save changes

Revoking Access

  1. Find the person in the list
  2. Click "Revoke Access"
  3. Confirm revocation

Access is removed immediately.

What Recipients See

Beneficiary View

Beneficiaries log in to a simplified portal:

  • List of shared documents
  • Search and filter
  • Document preview
  • Download (if enabled)

Guest View

Guests see a minimal, focused interface:

  • Shared documents only
  • No account creation needed
  • Clean, simple design

Best Practices

  1. Use beneficiaries for family - Permanent access for trusted family members
  2. Use guests for professionals - Time-limited access for advisors
  3. Share smart folders - Automatically include new matching documents
  4. Review access quarterly - Remove access that's no longer needed
  5. Use separate channels for codes - Don't email emergency codes
  6. Enable download carefully - Consider if downloads are necessary

Security Considerations

All external access includes:

  • Encryption - Documents encrypted in transit and at rest
  • Audit logging - All access is recorded
  • Session management - Automatic logout after inactivity
  • IP logging - Track where access comes from
