oklido makes it easy to export your data for backup, compliance, or migration purposes.

Your Data Rights

Under GDPR and UK data protection law, you have the right to:

  • Access your data
  • Export your data in a portable format
  • Delete your data (right to erasure)

Types of Exports

Document Export

Download all your documents:

  1. Go to SettingsData Export
  2. Click "Export Documents"
  3. Choose format:
    • ZIP file - All documents in original format
    • PDF bundle - Combined PDF (documents only)
  4. Click "Generate Export"
  5. Download link sent to your email

Metadata Export

Export document information without files:

  1. Go to SettingsData Export
  2. Click "Export Metadata"
  3. Choose format:
    • CSV - Spreadsheet compatible
    • JSON - Machine readable
  4. Click "Generate Export"

Includes:

  • Document titles
  • Types and sources
  • Dates
  • Tags
  • Audit history

Account Data Export

Full GDPR data export:

  1. Go to SettingsData Export
  2. Click "Request Full Data Export"
  3. Confirm your request
  4. Export prepared within 30 days (usually much faster)

Includes:

  • All documents
  • Metadata
  • Account information
  • Audit logs
  • Settings

Selective Export

Export specific documents:

  1. Go to Documents
  2. Select the documents you want
  3. Click "Actions""Download"
  4. Documents downloaded as ZIP

Security

Exports are secured:

  • Encrypted download links - Time-limited URLs
  • Email verification - Sent to account email only
  • Audit logged - All exports recorded
  • No third-party access - Direct download from our servers

Using Exported Data

Backup

Keep regular exports as backups:

  1. Schedule quarterly exports
  2. Store in a secure location
  3. Verify backup integrity

Migration

Moving to another system:

  1. Export documents as ZIP
  2. Export metadata as CSV
  3. Import to new system using their tools

Compliance

For regulatory requirements:

  1. Request Full Data Export
  2. Retain as required by regulations
  3. Ensure secure storage

Deleting Your Data

To delete your account and data:

  1. Go to SettingsAccount
  2. Click "Delete Account"
  3. Confirm deletion

Warning: This action is permanent and cannot be undone.

We recommend exporting your data before deletion.

What Gets Deleted

  • All documents
  • Account information
  • Audit logs
  • Settings and preferences

What's Retained

For legal compliance, we may retain:

  • Billing records (7 years)
  • Anonymised usage data
  • Legal hold documents (if applicable)
