Outlook Setup Guide

Connect your Outlook or Microsoft 365 account to automatically capture investment documents.

Prerequisites

  • An oklido account
  • An Outlook.com or Microsoft 365 account
  • Available email source slot (check your plan limits)

Step 1: Navigate to Email Sources

  1. Log in to oklido at oklido.com
  2. Go to Settings (gear icon in sidebar)
  3. Click "Email Sources"

Step 2: Start Outlook Connection

  1. Click "Add Email Source"
  2. Select "Outlook"
  3. You'll be redirected to Microsoft

Step 3: Sign In to Microsoft

  1. Enter your Microsoft account email
  2. Enter your password
  3. Complete any MFA/2FA if enabled

Step 4: Grant Permissions

Microsoft will ask you to grant oklido access:

Click "Accept" to grant permissions.

Privacy Note: We only read emails to extract attachments. We don't store email content, and emails remain in your inbox.

Step 5: Configure Sync Options

After connecting, configure your preferences:

Filter by Sender (Recommended)

Enter email addresses or domains to sync:

*@investmentfirm.com
reports@mybank.com
statements@custodian.co.uk

Filter by Folder

Only sync emails from specific Outlook folders:

Inbox/Investments
Archive/Financial

Attachments Only

Enable this to only process emails that have file attachments.

Sync History

Step 6: Save and Sync

  1. Click "Save"
  2. Initial sync begins automatically
  3. This may take a few minutes depending on email volume

Microsoft 365 Admin Consent

If you're using a corporate Microsoft 365 account, your IT admin may need to approve oklido:

  1. Admin goes to Azure AD → Enterprise Applications
  2. Finds oklido in the list
  3. Grants admin consent for the organization

Contact your IT team if you see "Admin approval required" errors.

Managing Your Outlook Connection

Editing Settings

  1. Go to SettingsEmail Sources
  2. Find your Outlook source
  3. Click "Edit"
  4. Update settings and save

Disconnecting Outlook

  1. Go to SettingsEmail Sources
  2. Find your Outlook source
  3. Click "Disconnect"

Revoking Access in Microsoft

  1. Go to account.microsoft.com/privacy/app-access
  2. Find oklido
  3. Click "Remove"

Troubleshooting

"Admin Approval Required"

Your Microsoft 365 organization requires admin consent. Contact your IT administrator.

"Invalid Grant" Error

The connection token expired. Disconnect and reconnect your Outlook account.

Emails Not Syncing

  1. Check your filters aren't too restrictive
  2. Verify the connection is active in Settings
  3. Allow time for sync
  4. Try disconnecting and reconnecting

Shared Mailboxes

Shared mailbox support depends on your Microsoft 365 configuration. Contact support if you need to sync a shared mailbox.
