Gmail Setup Guide
Connect your Gmail account to automatically capture investment documents.
Prerequisites
- An oklido account
- A Gmail account (personal or Google Workspace)
- Available email source slot (check your plan limits)
Step 1: Navigate to Email Sources
- Log in to oklido at oklido.com
- Go to Settings (gear icon in sidebar)
- Click "Email Sources"
Step 2: Start Gmail Connection
- Click "Add Email Source"
- Select "Gmail"
- You'll be redirected to Google
Step 3: Sign In to Google
- Choose your Google account (or sign in)
- If you have multiple accounts, select the one you want to connect
Step 4: Grant Permissions
Google will ask you to grant oklido access. We request:
| Permission | Why We Need It |
|---|---|
| View email messages | To find documents in your emails |
| View email metadata | To filter by sender, date, labels |
Click "Allow" to grant permissions.
Privacy Note: We only read emails to extract attachments. We don't store email content, and emails remain in your inbox.
Step 5: Configure Sync Options
After connecting, configure your preferences:
Filter by Sender (Recommended)
Enter email addresses or domains to sync:
*@investmentfirm.com
reports@mybank.com
statements@custodian.co.uk
Tip: Use *@domain.com to match all emails from a domain.
Filter by Label
Only sync emails with specific Gmail labels:
- Create labels in Gmail for investment emails
- Enter label names in oklido
- Only emails with these labels will sync
Attachments Only
Enable this to only process emails that have file attachments.
Sync History
Choose how far back to sync:

Step 6: Save and Sync
- Click "Save"
- Initial sync begins automatically
- This may take a few minutes depending on email volume
Verifying the Connection
After setup:
- Go to Documents
- You should see documents from your Gmail
- Check Sources to see sync status
Managing Your Gmail Connection
Editing Settings
- Go to Settings → Email Sources
- Find your Gmail source
- Click "Edit"
- Update settings and save
Disconnecting Gmail
- Go to Settings → Email Sources
- Find your Gmail source
- Click "Disconnect"
- Confirm disconnection
Note: Disconnecting removes the connection but keeps previously synced documents.
Revoking Access in Google
You can also revoke access from Google:
- Go to myaccount.google.com/permissions
- Find oklido in the list
- Click "Remove Access"
Troubleshooting
"Access Denied" Error
- Ensure you're signing in with the correct Google account
- Clear browser cookies and try again
- Check if your organization restricts third-party app access
Emails Not Syncing
- Check your filters aren't too restrictive
- Verify the connection is active in Settings
- Allow time for sync (especially on Free plan)
- Try disconnecting and reconnecting
Missing Attachments
- Only supported file types are extracted (PDF, DOC, XLS, etc.)
- Very large files may be skipped on lower plans
- Encrypted attachments cannot be processed
