How does AI classification work?
When you upload a document, our AI:
- Extracts text from the document
- Analyses content to determine type
- Suggests a classification and source
- You can accept or modify the suggestion
Can I bulk upload documents?
Yes. Drag multiple files at once, or use the file browser to select multiple files.
Email Integration
Which email providers are supported?
- Gmail (personal and Google Workspace)
- Outlook (Outlook.com and Microsoft 365)
Does oklido read all my emails?
No. oklido only:
- Reads emails matching your filters
- Extracts file attachments
- Does NOT store email content
Emails remain in your inbox unchanged.
Can I connect multiple email accounts?
Yes, depending on your plan:

Security & Privacy
Where is my data stored?
All data is stored in AWS London (eu-west-2) region, within the UK.
Is my data encrypted?
Yes. Documents are encrypted:
- In transit using TLS 1.3
- At rest using AES-256 encryption
Who can access my documents?
Only people you explicitly grant access to:
- Your team members (internal users)
- Beneficiaries and guests (external access)
oklido staff cannot access your documents.

External Access
What's the difference between beneficiaries and guests?

Can beneficiaries add documents?
No. External users (beneficiaries and guests) have read-only access. Only internal team members can upload documents.
How do I revoke someone's access?
Go to Settings → External Access, find the person, and click "Revoke Access".
Document Features
How do I set a reminder on a document?
Open any document and click the bell icon in the header. Set a title, due date, and when you want to be reminded. Choose "Personal" for private reminders or "All" to share with your team. You can snooze, complete, or dismiss reminders from the dashboard widget.
What is Confidential Mode?
Click the eye icon in the header to toggle Confidential Mode. When enabled, document previews and sensitive content are hidden - useful when screen sharing.
How do I restore a deleted document?
Deleted documents are kept based on your retention policy (7-90 days). Go to Settings → Deleted Files to view and restore them.
How do I export my data?
Go to Settings → Data Export to download all your documents and metadata. This creates a GDPR-compliant export of your complete account data.
Organisation
How do Smart Folders work?
Smart Folders automatically collect documents matching your criteria (date, type, source, tags). Documents appear instantly when they match - no manual organisation needed.
You can filter by:
- Date range (including relative dates like "Last 30 days")
- Document type
- Source
- Tags
- Status (pending, classified, reviewed, archived)
What are Categories (Groups & Projects)?
Categories let you organize documents in a two-level hierarchy: Group > Project.
For example: "Client: Smith Family" → "Project: 2024 Tax Planning"
You can customize the labels (e.g., rename "Group" to "Client"). Documents can be assigned to multiple projects or just a group. Categories integrate with Smart Folders for automatic organization. Available on Pro plan and above.
Account & Support
How do I reset my password?
- Go to the login page
- Click "Forgot password"
- Enter your email
- Follow the reset link in your email
How do I delete my account?
- Go to Settings → Account
- Click "Delete Account"
- Confirm deletion
Warning: This permanently deletes all your data.
